Most Australian businesses that ask us about sales pipeline software development already have a CRM. HubSpot, Salesforce, Pipedrive, or whatever came bundled with the accounting system. The licence is paid for. The problem is that the pipeline inside it is not the real pipeline.

The real one sits in a rep's notebook, a phone call log, an inbox, and a spreadsheet somebody updates on a Friday afternoon. Deals go quiet in the gap between the two. It is also the reason the reports coming out of the CRM never quite match what the owner believes is happening in the business.

One caveat before anything else. A system will not fix a sales problem that is really a product or pricing problem. If you lose to the same competitor on price every time, or enquiry volume is healthy and conversion is not, better software will show you that faster and in more detail. It will not change the answer. We would rather say that in the first conversation than three months into a build.

Discover

A working session with the people who actually sell. Where leads come from, what happens to each one, where quoting stalls, and what the CRM is genuinely used for as opposed to what it was bought for.

We document the pipeline as it runs today, including the parts that live outside the software. This is usually where a business sees for the first time how many separate places a lead can land in.

Design

We agree stage definitions, routing rules, approval thresholds and what should count as a follow-up trigger. Small decisions here — such as whether "quote sent" is a stage or a field — decide whether the reporting is trustworthy later.

Build and integrate

We build the quoting, routing and follow-up components and connect them to your CRM, website, inbox and accounting system. Existing records are migrated and deduplicated before go-live, not after.

Once real numbers accumulate, triggers and thresholds get adjusted. First-pass follow-up timing is an educated guess. After two months of your own data it does not have to be.

The monthly figure depends on how much you are building and how many systems it has to connect to. We quote after the discovery session rather than before it.

Usually no, and we would generally advise against it. Replacing a CRM costs you the history and the habits at the same time. We build the missing pieces — quoting, routing, follow-up, reporting — and connect them to what you already run. If your CRM genuinely cannot support the way you sell, we will say so, but that is not the common case.

The build runs alongside your current process. Disruption concentrates in two places: agreeing stage definitions during design, which needs a few hours from the people who sell, and the first fortnight after go-live, when habits change. We release in stages so the team adopts one thing at a time rather than a whole new system on a Monday morning.

We can build the plumbing that makes it answerable: source captured at first touch, carried through to the quote, reconciled against invoiced revenue. What we cannot do is retrofit attribution onto leads that were never tagged. The reporting starts producing reliable answers from the point capture goes in, not retrospectively.
